The Problem
Automations can fail because of expired app connections, missing data, API limits, permission problems, changed spreadsheet columns, invalid AI output, or temporary service issues. Without one monitoring system, failures can go unnoticed and important work may never be processed.
The Solution
A central monitoring workflow that receives Zapier failures or error-notification emails, extracts the affected Zap and failed-step details, assigns severity, and records the issue in an Error Log. Critical and high-priority failures can create a troubleshooting task and alert the approved technical owner.
How It Works
- 1Zapier Manager or Gmail Trigger — detects a failed task or Zapier error notice
- 2Formatter by Zapier — extracts Zap name, failed step, source ID, error message, and run link
- 3ChatGPT / Formatter — classifies the issue as Critical, High, Normal, or Low
- 4Google Sheets — checks Error Log for an unresolved matching issue
- 5Google Sheets — updates the occurrence count or creates a new error record
- 6Google Sheets — creates a troubleshooting task in Master Tasks when needed
- 7Gmail or Slack — notifies the approved technical owner for Critical and High errors
- 8Automation Logs — records monitoring activity and resolution status
Results
- Creates a central history of workflow failures and recurring problems
- Records the affected Zap, failed step, source ID, and Zap run link for troubleshooting
- Prevents duplicate unresolved error records while tracking occurrence counts
- Creates troubleshooting tasks for important failures
- Alerts only the approved technical owner for critical and high-severity issues
- Does not automatically replay failed tasks or re-enable disabled Zaps
